What is marketing tracking software?

In short

Marketing tracking software records where every website visitor came from, across paid ads, organic search, email, social, referrals, AI search engines and offline campaigns, follows them to a form, call, booking or purchase, and reports leads and revenue per channel. Unlike web analytics, it tracks people, not sessions, and joins each conversion to the outcome in your CRM.

    Join the visit to the record in HubSpot, Salesforce or Pipedrive, so the report says what a channel earned in qualified leads and closed revenue, not how many sessions it sent.

Why the stack you have does not add up

Every channel reports itself, and the sum of those reports is not what you got.

GA4 counts sessions, each ad platform counts its own conversions, and the CRM says "Direct" on half the records. Put them side by side and the numbers disagree.

  • UTM parameters do not survive the visit. The lead who reads the email today and fills the form next week arrives untagged, and GA4 files them under direct.
  • Each platform claims the same lead. Meta, Google and LinkedIn each count the conversion, so the platform total is higher than the CRM total and nobody knows by how much.
  • Calls, bookings and chats are not counted. Analytics stops at the click, so the channel that makes the phone ring looks like it produced nothing.
  • Nothing joins the channel to the deal. The report ends at the form fill and never learns which channels produce customers rather than sign-ups.
  • AI search hides inside direct. A visitor who came from ChatGPT or Perplexity usually arrives without a referrer, so a growing channel is invisible in every report.
  • Newsletters, podcasts, partners and print have no report at all. Anything without an ad account has no cost and no result next to the channels that do.

So every channel owner shows a report that makes their channel look good, and nobody in the room can say what a lead actually cost.

Marketing tracking software, the questions buyers ask

What teams want to know before they replace GA4 and the spreadsheet as the way they track marketing.

What is the difference between marketing tracking software and Google Analytics?

GA4 counts sessions and events within them, so a person who visits four times from four channels is four visitors, and the CRM outcome is not part of the model. Marketing tracking software keeps one journey per person, records forms, calls, bookings and purchases against that person, and joins the result to the deal in the CRM. The comparison with GA4 goes through it feature by feature.

Which channels does it track?

Meta, Google, LinkedIn and Microsoft Ads with spend and conversion APIs, organic search, organic social, email, referrals, and AI engines like ChatGPT, Perplexity and Gemini as a channel of their own. Anything else, newsletters, podcasts, partners, affiliates, print, becomes a custom channel with its own links, a fixed phone number where the source is offline, and the cost you enter.

Does it track phone calls and booked meetings, or only forms?

Forms, calls, bookings, chats and purchases. Calls come in through tracking numbers swapped per visitor, so each one carries its source, campaign and keyword plus a recording and an AI summary. Bookings arrive from Calendly and the other schedulers, and a call, a form and a booking from the same person are one lead, not three.

How does it handle UTM parameters and click IDs?

Every UTM parameter and the click ID are captured on the first visit on your own first-party domain and kept for months, so they are still there when the person comes back without them. They are also written onto the CRM record, which is what ends "Direct" as the biggest source in your pipeline reports.

How does it calculate cost per lead for channels without ad spend?

Ad spend is pulled from the platforms. For everything else you enter the cost on the channel, the SEO retainer, the podcast fee, the newsletter sponsorship, and cost per lead and return are calculated the same way as for Meta or Google. A channel with no cost entered simply shows its leads and revenue.

Does it work with my CRM?

HubSpot, Pipedrive, Close and Attio connect natively with one-click OAuth. Salesforce and 100+ other CRMs connect through a webhook, Zapier, Make or n8n. Every contact then carries its channel, campaign and landing page, and every deal stage can be reported per channel and sent back to the ad platforms as a conversion.

Is first-party marketing tracking GDPR compliant?

Tracking runs on your own subdomain and consent-aware, alongside your consent management platform. LeadJourney is hosted in the EU, in Frankfurt, and a data processing agreement is part of every plan. The GDPR page lists the controls in detail.

How is this different from the tools in your ranked guide?
