What is campaign tracking software?

In short

Why campaign reports disagree

Every tool tracks its own campaigns. None of them knows which one closed the deal.

Ads Manager reports Meta campaigns, Google Ads reports Google campaigns, the newsletter tool reports opens, and the CRM reports deals with a source a rep picked. Put them side by side and they add up to more conversions than you had customers.

  • Each platform grades itself. A view on Meta and a click on Google both claim the same lead, so the campaign totals add up to more than the CRM.
  • Platforms count leads, not customers. The campaign with the cheapest lead is often the one with the most expensive customer, and nothing in Ads Manager shows it.
  • The tag gets lost on the way. Redirects, form tools on their own domain and return visits drop the UTM set, so the CRM files the lead under Direct.
  • Non-paid campaigns have no report at all. A newsletter, a partner mailing or a webinar has a link and a cost, but no table that holds it next to the paid campaigns.
  • Long sales cycles break the window. The deal closes in week nine, long after the platform's attribution window, so the campaign that started it gets nothing.

So budget moves to the campaign with the most platform conversions. The campaign that closes the revenue is the one being cut.

Campaigns captured automatically

utm_source, utm_medium, utm_campaign, utm_content and utm_term are read on every visit that carries them, without a hidden field on the form. The free UTM builders keep the spelling consistent, so one campaign stays one row.

Paid campaigns credited without a tag

gclid, fbclid, msclkid and li_fat_id identify the campaign, ad set and ad on their own, so a paid click is credited even when nobody tagged the link.

Kept for months, not one session

The distinction

A UTM builder names the campaign. Campaign tracking tells you what it earned.

Building clean links is where campaign tracking starts, and the free builders do that part. What a link cannot do is survive a redirect, join a return visit three weeks later, or learn that the lead became a €31,000 deal. That is the half that decides the budget, and it needs the tracking, the cost and the CRM in one place.

What marketers want to know before they stop judging campaigns on platform conversions.

What is campaign tracking software?

Software that records which campaign every visitor came from, keeps that campaign on the visitor until they convert, and reports each campaign's cost against the leads and revenue it produced. The difference from the reporting inside each ad platform is that it covers every campaign in one place, paid or not, and judges them on the deals in your CRM rather than on the conversions each platform counts for itself.

How is it different from a UTM builder?

A UTM builder makes the link: it names the source, medium and campaign so the visit can be recognised. Campaign tracking is everything after the click: reading those parameters, keeping them through redirects and return visits, joining them to the lead and the deal, and putting the cost beside them. You need both, which is why the free UTM builder is part of the setup.

Can I track campaigns that are not paid ads?

Yes. A newsletter, a partner mailing, a podcast, a webinar or an event gets a tagged link and the cost you paid, and becomes a campaign row next to the ad platforms with its own leads and revenue. Anything offline can take a fixed tracking number where calls are the conversion. See custom traffic channels.

Where does the cost per campaign come from?

For Google, Meta, LinkedIn and Microsoft Ads it is synced from the ad account, down to the ad set and ad. For everything without an ad account you enter it, once or per month, and cost per lead, cost per customer and ROAS are computed the same way for both.

Do I need to tag every link?

Not for paid clicks. The platform's own click ID (gclid, fbclid, msclkid, li_fat_id) identifies the campaign, ad set and ad without a UTM. Tagging is still how you name everything that has no click ID, such as newsletters and partner links, and the builders keep the spelling consistent so one campaign stays one row.

What if the deal closes months after the click?

The campaign still gets it. Every visitor carries one LeadJourney click ID for months, so the first click, the return visits and the form are one journey, and the deal that closes in the CRM later is credited to the campaign that started it, with the attribution model you choose.

Which CRMs does it read revenue from?

HubSpot, Pipedrive, Close and Attio connect natively over OAuth. Salesforce and 100+ others connect through a webhook, Zapier, Make or n8n. Every lead then carries its campaign, and every deal stage can be reported per campaign and sent back to the ad platforms as a conversion.

Is campaign tracking GDPR compliant?

Tracking runs first-party on your own subdomain, LeadJourney is hosted in Frankfurt, identifiers sent to the ad platforms are hashed before they leave, and a data processing agreement is part of every plan.
