The definition

What is agency reporting software?

In short

Agency reporting software gathers every client's marketing data (ad spend, traffic, leads and, in the better tools, the deals in the client's own CRM) into one workspace per client and presents it as a scheduled report or a live dashboard the client can open. Done well, it replaces the monthly ads manager screenshot with proof of what the retainer returned.

  • One workspace per client

Each client's ad accounts, tracking domain and CRM connection live in a workspace of their own, and the agency moves between them with one login. Nothing from one client ever appears in another's report.

  • Outcomes from the client's CRM

Leads, qualified leads, booked calls and closed revenue read from the client's own HubSpot, Pipedrive or Salesforce, so the report and the client's pipeline agree. See lead quality by channel.

  • A dashboard the client can open

A live, white label view scoped to the client's own numbers, open on any day of the month, rather than a PDF that is out of date the morning it is sent.

  • Delivery on a schedule

The weekly or monthly summary goes out by email, Slack or WhatsApp without an account manager assembling it, with the live dashboard one click away.

Why the monthly report does not renew the retainer

A dashboard tool shows the client what the ad platforms claim. The client trusts their CRM.

AgencyAnalytics, DashThis and their peers pull a hundred sources into a branded page, and every source is a platform grading its own homework. What the spend became in the pipeline is not one of them.

  • Platform conversions are not leads. Meta and Google each claim the same person, so the dashboard adds up to more leads than the client's CRM ever received, and the client notices.
  • Cost per lead hides quality. The cheapest campaign in the report is often the one feeding the client's sales team the leads that never pick up, and the report cannot tell the difference.
  • Every client is a fresh build. A new client means a new dashboard, new connectors and new widgets, and the template breaks the moment their stack is different.
  • The report is a snapshot. By the time the PDF is read the numbers have moved, and the client cannot click anything to check where a figure came from.
  • Account managers become report builders. The days before month-end go into screenshots and commentary instead of into the campaigns the commentary is about.
  • When a rival agency pitches, the client has no proof. "Those leads were ours" is hard to answer with a slide of impressions and click-through rates.

The agencies that keep clients are not the ones with the prettiest dashboard. They are the ones whose report matches the client's CRM.

What the software does

Everything a client report has to do, per client and in one place.

Multi-client workspaces

Every client in a workspace of their own, with their own ad accounts, tracking domain and CRM, plus an agency overview across all of them. Switch clients in one click.

CRM outcomes per campaign

Leads, qualified leads, booked calls and closed-won revenue read from HubSpot, Pipedrive, Close or Attio natively, from Salesforce and 100+ others by webhook, so the report shows what each campaign put into the client's pipeline, not what the platform claimed.

Live client dashboards

A white label dashboard per client, scoped to their own workspace, open on any day of the month. Unlimited client logins, never a paid seat.

Scheduled sends

Weekly or monthly summaries built from the live data and delivered by email, Slack or WhatsApp on the day you choose, each with the dashboard one click away.

Spend from every ad platform

Meta, Google, LinkedIn and Microsoft Ads spend is pulled into each client's workspace automatically, so cost per lead, cost per booked call and ROAS per campaign compute themselves and match the invoice.

Atlas drafts the client summary

The AI analyst in every workspace writes the weekly client update from the live numbers, answers "why did Northwind's cost per lead rise?" and flags an anomaly before the client sees it.

Why the source matters

A report the client can verify in their own CRM is a report they stop arguing with.

A dashboard tool can only show what the platforms hand it, and every client knows the platforms flatter themselves. When the revenue line comes from the client's own CRM, the monthly call starts from shared numbers and the retainer is defended with return rather than clicks.

A new client live in 21 minutes

Client reporting set up in three steps

No dashboard to build, no connectors to babysit, no developer hours from your side or the client's.

  1. 1About 5 minutes

    Create the client workspace

Add one script to the client's site on a first-party tracking domain of their own. From that moment every ad click, session, form and call is recorded in their workspace and nowhere else.

  2. 2About 15 minutes

    Connect their accounts

Connect the client's Meta, Google, LinkedIn and Microsoft Ads accounts for spend, and their CRM for the outcomes. Native for HubSpot, Pipedrive, Close and Attio, a webhook for the rest.

  3. 3Same day

Set the report and the schedule

Choose which CRM stages the client's report counts, who on their side gets a dashboard login, and when the summary goes out. The first report leaves the same day.

What changes

What agencies do differently once the report comes from the client's CRM.

Done:

The report matches the client's CRM

Revenue is read from the client's own pipeline, so the monthly call starts from numbers both sides already agree on.

Down:

Reporting hours per client

The report is built when you log in and leaves on its schedule, which is where the 15+ hours a month per client come from.

Down:

Churn at renewal

A client who sees their retainer tied to closed revenue every month does not shop around when the contract comes up.

Up:

Retainers defended with ROAS

"Your spend returned 5.8 times in closed deals" ends a pricing conversation that "CTR improved" only prolongs.

Done:

Clients who check for themselves

A client with a dashboard login opens it instead of emailing for a number, and trusts the report because they could have checked it.

Lasting:

One screen for every client

Spend, leads and revenue per workspace at a glance, the way Trustfactory and Klickkraft run their client books.

Before LeadJourney, we had no reliable tracking concept for our five-figure ad spend. We were manually building spreadsheet and CRM reports, inaccurate and time-consuming. Within two days, everything was set up. For the first time, I know exactly what I pay per lead and which campaigns actually bring in the best-qualified prospects.

Common questions

Agency reporting software, the questions buyers ask

What agency owners and account managers want to know before they move client reporting off the dashboard tool.

How is LeadJourney different from AgencyAnalytics, DashThis or Whatagraph?

Those tools visualise the metrics each platform reports, so the dashboard is a nicer arrangement of the ads manager. LeadJourney owns the data underneath: it tracks every client's clicks first-party on their own domain, follows them to the lead, the booked call and the deal in the client's CRM, and reports spend against that. The report shows what the retainer returned, not what the platforms claim.

Can each client see their own dashboard, and can it carry our branding?

Yes to both. Every client workspace supports unlimited client logins with access to their own live dashboard and nothing else, and reporting is white label. A client who can open their numbers on any day trusts the monthly summary a great deal more.

How long does it take to set up a new client?

About 21 minutes: one script on the client's site on a tracking domain of their own, their ad accounts, their CRM. No developer hours from your side or the client's, and we do the first clients with you on a call if you prefer.

Which CRMs do my clients need to be on?

HubSpot, Pipedrive, Close and Attio connect natively with one-click OAuth. Salesforce and 100+ other CRMs connect through a webhook, Zapier, Make or n8n. You need a connection, not admin rights, and you choose which fields are read and written, so the client's existing setup stays as it is.

Can the monthly report go out by itself?

Yes. Set a schedule per client and the weekly or monthly summary is built from the live data and delivered by email, Slack or WhatsApp, with the dashboard one click away. Atlas drafts the commentary from the same numbers, so what leaves is a written update rather than a table of charts.

Does one client's data stay separate from another's?

Yes. Each client lives in an isolated workspace with its own tracking domain, ad accounts and CRM connection, and a client login sees only that workspace. Data is processed and stored in the EU, tracking is first-party and consent-aware, and a data processing agreement is part of every plan. The GDPR page lists the controls.

How does pricing work for an agency with many clients?

Agency plans include client workspaces well above what an agency of that size normally runs, client logins are unlimited, and the plan follows the combined spend across your workspaces. Onboarding your tenth client does not renegotiate your bill. The exact tiers are public on the pricing page.

Is there a partner programme for agencies?

Yes. Agencies that run LeadJourney for five or more clients with healthy setups can apply to be verified and listed in the agency directory, with a full profile, the badge for proposals and pitch decks, and introductions from the matching service at no cost per lead. The directory is how businesses looking for an agency that measures revenue find one.
